Prices are the entry list prices each vendor publishes on its own US pricing page, read on Oct 27, 2026. They exclude taxes, payment processing unless stated, hardware, add-ons and negotiated discounts; a promotion appears only in the notes, labeled as one. Prices change. No vendor paid for a place or a price in this table.
Expensify earned its place by making the expense report tolerable. Teams look for an alternative when the report is no longer the right unit of control: when finance would rather issue a card with limits than repay a personal charge after the fact. That shift decides our order.
Our ranking
- Ramp. Card-first, with expenses, controls and supplier bills in one finance workflow. The natural next step once claims should become company cards.
- Zoho Expense. The pick for a business that already runs its books or CRM in Zoho and wants expense reporting and reimbursement inside that suite.
- BILL Spend & Expense. The pick when BILL already pays your suppliers and you want cards and expenses beside that process rather than in another tool.
Why Ramp leads
Consider a team with more employees spending more often, where finance chases receipts after the money is gone. A card-led platform turns that around. On a card-led platform, limits and merchant rules apply before the purchase, and the receipt can be requested when the charge happens; confirm that receipt flow in the Ramp trial. Ramp positions cards, expenses, controls and payables as one operating workflow for US finance teams, so it is also worth evaluating when supplier bills live in a separate system from card spend.
Ramp is the wrong replacement when most spend will stay out-of-pocket, for example contractors or field staff who will never hold a company card. Then the card program would sit largely unused, and staying on Expensify is the better decision.
Why Zoho Expense is second
For a Zoho customer, the strongest argument is not a feature but a boundary. Zoho Expense is positioned for expense reporting and reimbursement within the Zoho suite, which removes one vendor relationship. Confirm in a trial whether users, permissions and ledger records are shared with the Zoho apps you already run, and what Zoho Books connection remains to maintain. We place it second rather than first because it remains an expense-reporting tool: its published positioning is expense reporting and reimbursement, so a team whose goal is card-led control should weigh it the same way it weighed Expensify.
Why BILL Spend & Expense is third
BILL is the right answer for a specific stack. Its QuickBooks Online integration page lists which records move in each direction, including vendors, bill payments and vendor credits from BILL to QuickBooks, and states that Spend & Expense syncs with QuickBooks Online. If your payables team already lives in BILL, adding cards there keeps one vendor relationship; whether the card side shares the payables team's supplier list and approval setup is something to see demonstrated in the trial. Without BILL in place, Ramp covers the same ground as a single product.
When to keep Expensify
Keep it if reimbursement is the job. Its QuickBooks Online export options are detailed: reimbursable reports can export as vendor bills, checks or journal entries, and reimbursement status syncs in both directions in Expensify Classic. A company with modest card usage and a well-run monthly report cycle gains little by switching.
The question that settles it
Count last quarter's spend by how it was paid. If personal cards and claims still dominate, stay or move to Zoho Expense. If company cards already dominate, or should, move to Ramp, or to BILL Spend & Expense if BILL pays your bills today.
