The symptom is familiar. A software vendor sends an invoice, someone pays it by card to save time, and accounts payable pays the invoice too. Or a supplier is set up twice, once as a bill payee and once as a card merchant, coded to different accounts. Putting bills and cards in one workflow is the cure, and three platforms here are built for it in different ways.
Pick: Ramp
For a finance team that wants one place to approve, pay and code both supplier bills and card spend, Ramp is our choice. Its scope places payables alongside cards, expenses and controls; in the trial, pay one supplier by bill and by card and confirm it stays one vendor.
The supporting detail is downstream, on the card and reimbursement side. Ramp's QuickBooks Online documentation states that card transactions sync as expenses, reimbursements sync as bills with bill payments and the employee as vendor, and synced expenses are locked in Ramp, with later edits made in the accounting software. A team that knows exactly which record each payment becomes can reconcile it. That clarity is what a combined workflow is for.
Runner-up: BILL Spend & Expense
If your payables already run in BILL and the AP team is happy, do not migrate them for the sake of a single platform. Add cards beside the process you have. BILL's integration page lists the records that sync to QuickBooks Online, including vendors, bill payments and vendor credits, and states that Spend & Expense syncs with QuickBooks Online as well. The page does not document how individual card transactions post or how sync errors are handled, so ask for that before you commit.
Third: Airbase
Airbase approaches the problem from the request. A purchase is approved first, then paid by card, reimbursement or bill under that approval. Choose it when the duplicate payments you see come from spend that was committed without approval, not from two payment systems. If approvals already happen and only the payment step is split, Ramp's simpler path wins.
What this page does not settle
None of these tools decides your coding rules or who may pay a supplier by card. Write that policy first: which vendors are bill-only, which may be paid by card, and who approves an exception. Then check in a trial that the platform enforces it, by paying one supplier both ways and confirming it remains a single vendor with consistent coding in your books.
