Travel and expense software must connect traveler decisions, policy, booking changes, company cards, personal payments, credits, and accounting. Navan, SAP Concur, and Brex have different centers of gravity. The buyer should test disruption, not only a clean round trip.

Buyer scenario: the trip no longer matches approval

Imagine an employee traveling internationally when a supplier cancels part of the trip. Replacement transport is paid personally, a hotel refund arrives later, the project entity changes, and the manager delegates approval.

Navan deserves emphasis when booking experience and active-trip handling lead. SAP Concur deserves emphasis when layered policy, entities, and enterprise connections require depth. Brex deserves emphasis when cards and wider spend controls lead while travel remains integrated. Confirm issuer and geographic availability directly.

IRS Publication 463 supplies general federal travel guidance. Software evidence does not establish deductibility.

Map a recent disruption as a timeline. Record when the supplier, traveler, travel team, card feed, manager, and finance first knew each change. A platform closest to the slowest or most ambiguous handoff should receive more weight than one offering a broader clean-trip feature list. Preserve the traveler's urgent support need and finance's later evidence need as separate queues.

Include unused-credit governance. Define ownership, expiration monitoring, permitted reuse, employee departure, and accounting treatment review. A credit dashboard is insufficient if nobody is responsible for applying value or reconciling a supplier refund to the original trip.

Compare traveler support during the trip with finance support after it. Active disruption may require immediate rebooking and safe employee communication; a later refund, dispute, or duplicate card feed needs documentary investigation. Define service hours, escalation, handoff evidence, and queue ownership for both. A vendor can excel at one and leave the other fragmented. Score them separately so a polished travel experience does not hide close work, and accounting depth does not excuse poor help for a stranded traveler.

Test communication during an outage or major itinerary change. The traveler should know what has been rebooked, what remains personally funded, and what evidence to retain. Finance should later receive the final supplier, card, credit, and reimbursement chain without reconstructing it from messages. This scenario makes service quality and financial evidence measurable parts of the same trip.

Decision criteria from booking to reconciliation

Inspect policy display, pre-approval, search and booking, itinerary change, cancellation, support, unused credits, card controls, receipts, personal payments, reimbursement, currency evidence, entity coding, delegation, and close queues. Ask which rules block, warn, or review after travel.

Define source of truth for travel, workforce, card, and accounting records; latency, duplicate keys, errors, retry, and reconciliation. Security features do not prove compliance.

Reproducible disrupted-trip evaluation

Create an approved trip, card-funded lodging, foreign-currency item, and personal replacement purchase. Change the itinerary, cancel one element, apply a credit, attach a receipt late, split entity coding, delegate approval, reject a line, and reimburse the corrected report.

Pause a feed, introduce a duplicate-looking charge and invalid dimension, restore, repair, and reconcile. Ask traveler, manager, and finance to explain the result. Spend Management Guide has not run this configured comparison.

Edge case: credit survives the traveler

Deactivate the traveler before a refund or unused credit arrives. Determine ownership, alerts, future use, historical trip linkage, and posting. Then change policy before report submission and inspect which rule applies.

The organization should choose policy timing; the platform should expose it predictably.

Conclusion: choose for an irregular journey

Choose Navan for traveler-centered operations, SAP Concur for governed depth, or Brex for card-and-spend architecture with travel. The winner should help the employee recover during disruption and help finance connect booking, payment, reimbursement, credit, currency, and close. A pleasant search screen is not enough if post-trip exceptions remain fragmented.
