Buyer constraint: finance is a shared role

Imagine founders and early employees buying software, traveling, and paying personally when a card is unavailable. One founder approves, another closes the books, and an employee leaves with a missing receipt and recurring subscription.

Ramp deserves emphasis for US card-led finance controls. Brex deserves emphasis for an independent spend-and-travel stack where current eligibility fits. Zoho Expense deserves emphasis when report and reimbursement work can use a governed suite.

Decision criteria for a tiny team

Inspect card purpose, limits, receipt capture, recurring ownership, personal claims, approval delegation, refunds, offboarding, and accounting queues. Count weekly administration and require a backup owner. Separate company-funded charges from employee repayment.

Score only committed entities, countries, and integrations. Security features do not prove compliance, and rewards or savings claims should not be treated as guaranteed economics.

Create a weekly founder-finance review that another person can run. It should identify missing receipts, personal claims awaiting repayment, cards without active purpose, recurring suppliers without owners, refunds, and rejected postings. Give each item one next owner and state. If the workflow still depends on a founder remembering private messages, the startup has digitized transactions without establishing financial ownership.

Retain a simple export so ownership remains inspectable during a platform or administrator outage.

Reproducible startup check

Create a software card, travel purchase, personal expense, missing receipt, and refund. Change the approver, split coding, reject and correct a line, reimburse the employee, then deactivate the subscription owner. Trigger an invalid accounting dimension, repair it, and inspect duplicates. Spend Management Guide has not executed this configuration.

Exception and conclusion: fundraising does not create a finance team

Add a hypothetical new entity only after testing the current loop without project-team help. Choose Ramp for card-led US control, Brex for an independent spend stack, or Zoho Expense for suite-centered expenses. The winner should make ownership obvious today and add complexity only when a real operating change arrives.
